Business Process Management

StarGarden provides several components that can be used to design, implement, deploy and work with your defined business processes, mapped as workflows. A business process can include tasks done automatically as well as tasks that require human interaction.

CONFIGURABLE WORKFLOW ENGINE

Use the rules builder to define the business rules for your business processes including:

  • task transition and notification
  • task routing
  • permissions
  • user roles, and
  • the elements used in building your authority rules.

AUTHORITY RULES MAINTAIN INTEGRITY

The workflow engine applies authority rules to workflow tasks, maintaining routing integrity regardless of any permanent or temporary organizational changes. StarGarden supports both formal authorities, applied to positions and roles, and informal person-to-person delegations that ensure work tasks can be automatically re-routed to an individual on a case-by-case basis. For example, when a manager takes leave they can informally delegate their authority for the duration of their absence and their workflow tasks will be automatically sent to the recipient of the delegation.

WORKFLOWS WRAP & MAINTAIN EXTERNAL DATABASES

Workflows can wrap and maintain data in external and vendor-supported databases without any interface or data conversion issues and easily augment these with StarGarden maintained virtual data structures, as required.

PROVIDES A USER TASK LIST

The StarGarden Portal provides every user with a Task List which presents all the workflow tasks to the user that they are authorized to access, as defined by their identity profile (through their community, role, position, member, or delegation authorities).

PROVIDES A USER ALERT & TASK MESSAGING

Users can be alerted to new tasks via the portal or by email notification and any information or online resources required to complete a task (including security privileges) are packaged with the task. Users can also interact with other participants via task messaging which provides secure correspondence that is retained for historical reference.

Route the right work to the right person, automatically.

Most business processes still run on email, paper, and memory, which means work stalls whenever someone is unavailable or a step gets missed. StarGarden takes a different path. Its embedded workflow toolset automates task-driven work and routes each approval to the right resource, so processes keep moving and nothing falls through the cracks.

You define workflows to match your process exactly, with unlimited forms, approval routings, and rules. A process can mix tasks the system completes automatically with tasks that need a human decision.

A team mapping out a business process workflow together

Configurable Workflow Engine

Use the rules builder to define the business rules behind each process: task transition and notification, task routing, permissions, user roles, and the authority rules that govern who can act.

A Task List for Every User

Every user gets a single task list showing only the work they are authorized to handle, based on their position, role, community, and delegations. Everything needed to complete a task, including the right security privileges, travels with it.

Alerts and Task Messaging

Users are alerted to new tasks by portal or email, and notifications can be sent to individuals or groups. They can correspond securely through task messaging, with that history retained for reference and audit. Reports can be emailed automatically, and even scheduled.

Routing That Reflects Reality

Route work by position, role, competency, custom form fields, or numerical ranges. Workflows can follow the user when they change roles or stay with the position, so routing holds through organizational change.

Escalation and Event Bypassing

If a task is not actioned in time, it escalates automatically to someone with the right authority and competency. When conditions are met, the workflow can skip ahead and bypass steps that no longer apply.

Wrap and Maintain External Data

Workflows can read and maintain data in external and vendor systems without custom interfaces or data conversion. A recruitment process could send an applicant to a third-party testing site, then route them forward based on the score that comes back.

Work Order Costing

Cost task completions in detail by tying work to work orders. Capture the true cost of a process down to the individual task, so finance and operations can see where effort and money actually go.

One Portal, Every Module

The workflow engine ties your modules together in a single portal. When a task in one area needs something from another, it is presented seamlessly, so people work from one place instead of juggling systems.

Gantt and Critical Path Views

Plan and track complex workflows with Gantt and CPM (Critical Path Method) views, so you can see the sequence, timing, and dependencies across a process at a glance.

How a workflow runs in StarGarden

Map the process once, then let it route, escalate, and record itself as work moves.

1

Define the process

Map your process in the rules builder with the forms, steps, and routing rules you need. At each step you decide who is responsible, by position, by role, by named user, or by a condition such as a dollar threshold.

2

Route by authority and competency

As the workflow runs, each task goes to the person with the authority and the skills to handle it. Authority rules keep routing intact through permanent or temporary changes, including informal delegations when a manager is away.

3

Complete, escalate, and record

Users action tasks from their task list with everything packaged in. Stalled tasks escalate automatically, and every step is logged with its messaging history for a complete audit trail.

Connected systems exchanging data across an organization

Processes that reach beyond StarGarden

Your processes rarely live in one system. StarGarden's workflow toolset was built to talk to other databases, both inside your organization and with third parties, so a single workflow can pull and update data wherever it lives without custom interfaces or conversion headaches.

Map a recruitment process that sends an applicant to an external testing site, return the score to the workflow, and let the result decide the next step automatically. The same approach connects procurement, onboarding, training, and any other process that crosses system boundaries.

Business Process Management, answered

Any task-driven business process. Common examples include onboarding, recruitment, procurement, training scheduling, and room booking. You define the forms, steps, approvals, and rules so the workflow matches how your organization actually works.

Workflows are configured in a built-in toolset. StarGarden works with you to map each process into steps, each with its own responsible position, role, or named user. There is no hard limit on the number of steps, approval levels, or parallel branches, and conditions can be added, such as an extra approval stage above a dollar threshold.

Authority rules keep work moving. A manager can informally delegate authority for the duration of an absence, and their tasks route to the delegate automatically. If a task is not actioned in time, it escalates to someone with the appropriate authority and competency.

Both. Workflow events can follow the user when their position changes or remain with the position. This reduces risk, protects data security, and ensures tasks still get completed through organizational change.

Yes. The workflow toolset can read and maintain data in external and third-party databases without custom interfaces or data conversion. For example, a recruitment workflow can send an applicant to an external testing site and route them forward based on the returned score.

Every action is logged. The system records each step with a timestamp and the user who took it, and task messaging is retained for historical reference. Combined with date-effective tracking of record changes, including change type and reason, this gives administrators a complete, traceable history of who did what and when, ready for any audit.

Yes. Workflows are built with unlimited forms, approval routings, and rules to match your process. StarGarden works alongside your team to map and configure each workflow accurately, and you can amend defined areas yourself, such as adding or editing screening questions in a recruitment workflow.
