Workflow that fits how your organization actually works

StarGarden routes work based on your structure, authority, competencies, and business rules, so processes keep moving even as responsibilities change.

Why StarGarden workflow matters

Manual handoffs, inbox chasing, and one-off approval paths make it harder to keep HR and payroll processes moving. StarGarden’s embedded workflow toolset helps automate business processes and route approvals based on your organization’s real structure, rules, and responsibilities. That means workflows can support day-to-day processes like onboarding, time approvals, leave requests, training requests, and performance reviews with more consistency, visibility, and control.

How workflows work

StarGarden workflow helps move work from request to resolution inside one integrated platform. A workflow can start from an employee action, a manager task, or a business event, then route based on your rules, approvals, and organizational structure. Because workflow is embedded in StarGarden, it can support processes across HR, payroll, time, scheduling, training, recruiting, and employee changes without relying on disconnected tools or manual follow-up.

Start the workflow

An employee, manager, or administrator launches a process such as onboarding, a transfer, time entry, leave, training, or another workflow request.

Route the work

StarGarden routes the task using your configured forms, approval paths, rules, and organizational logic, including routing by role, position, user, competency, or delegated authority.

Complete and track the outcome

Users and administrators can follow progress through task lists and workflow stages, helping reduce delays, improve visibility, and keep the next action moving.

Why StarGarden Workflow is different

StarGarden Workflow is part of a broader, integrated HRMS rather than a disconnected approval tool. It supports processes across HR, payroll, time, scheduling, recruiting, training, and employee management, while reflecting the position structures, reporting relationships, authority model, and operational requirements that structured organizations already depend on.

Integrated StarGarden platform

Built into the platform

StarGarden Workflow is built into a broader HRMS that connects HR, payroll, time and attendance, work planning and scheduling, applicant management, training, performance review, reporting, and more in one environment. That means workflows can support real operational processes across the platform instead of relying on disconnected tools, re-entry, or manual handoffs between systems.

Grounded in real organizational structure

StarGarden is built on a position-based model with reporting hierarchies, organizational structures, skill requirements, position budgeting, and job valuation already embedded in the system. That gives workflow a stronger foundation for structured organizations, because approvals and process steps can align with real positions, responsibilities, and delegated authority rather than relying on static inbox routing or one-off workarounds.

Organizational structure
Self-service and approvals

Connected to daily self-service and approvals

Workflow is not limited to back-office administration, because employees and managers already interact with requests, approvals, and workflow tasks through StarGarden’s web-based self-service environment. Employees can access workflows such as training requests, while managers can handle time sheet approvals, leave request approvals, schedule change approvals, and workflow requests in the same portal.

Linked to operational outcomes

StarGarden Workflow helps move work beyond approval by connecting operational activity across time, scheduling, payroll, and employee changes. Time can be routed for approval and sent through to payroll, schedules can interface directly with payroll, and employee workflows already support processes such as new employee setup, transfer, and change FTE.

What is a Federation?

  • a federation is a collection of communities and users.
  • a community is a structured (or unstructured) collection of positions and roles such as an organization, a city, a company, a board, etc.
  • a user is an identity
  • authority for decisions are delegated throughout the community structure

  • positions inherit, or are assigned, formal authorities which are automatically inherited by incumbents
  • authorities can be delegated from the position to other positions.
  • inherited authorities can be delegable or not
  • if a position delegates any authorities, the delegating position remains accountable and can follow any actions incurred
  •  a workflow "event" is initiated with a "request" from a user (or an automation)
  • A user (or automation) can initiate an event "on behalf" of another user
  • an event arrives at the next step and is visible on the dashboard as a "task"
  • tasks can have escalation rules with due dates, minimum or maximum

Decisions are what make Workflows work

  • People make the decisions that drive your organization
  • Federation Server ensures your decision-makers have both the authority and competency:
  • "authority" defines what a person is allowed to decide.  This is often delegated formally from the top of an organization
  • "competencies" are the enabling attributes required to support a decision such as a qualification, a skill, enough budget or any combination.

Workflow done Right ... the right people, with the right authority, at the right time
