Follow one request between the people who supply information, review it and complete the next step.Retrospective · Written 8 October 2026A record is only part of the processAn accurate employee record is valuable, but work still has to happen around it. Someone needs to review a request, resolve an exception, approve a change or prepare the next step. In December 2014, we wrote about workflow bringing HR and payroll processes to life by helping work reach the appropriate people with the information they need.Follow the handoffsOnboarding makes the distinction easy to see. An accepted offer may lead to employee records, equipment requests, payroll preparation and training. These activities belong to different people and may depend on one another. A list of forms does not explain who owns each step or what must happen before the next person can proceed.Make responsibility visibleA useful workflow identifies the work, its current owner and the conditions for moving it forward. Some steps need a decision. Others need evidence or completion of an earlier task. People should be able to distinguish work that is required now from work they may prepare ahead of time. The design needs to reflect the organisation’s process rather than forcing every process into the same sequence.Start with one outcomeOur experience continues to favour a focused start. Map one process, agree who can act, define its exceptions and test what each participant sees. Measure fewer missed handoffs and clearer ownership alongside the time saved.
